REPORTING TO:  DIRECTOR OF TRAVEL OPERATIONS, Amanda LeGresley
STARTING DATE: December 1, 2025

Moniker’s corporate travel and events business is expanding, and we are looking to hire talented and passionate people to support the team during our growth. The Operations Manager role will be a part of the Travel Operations Team, and oversee a Pod of Trip Planners in managing the day-to-day business and client programs. The ideal candidate will play a vital role in helping us build and service our roster of clients in planning and executing Corporate Incentive Trips, Retreats, & Meetings around the globe.
They will learn Moniker’s planning process, our approach to corporate travel and events, and what exceptional client service involves. Following this, they will master the handling of large amounts of detail required to plan and operate trips and events in order to ensure our programs meet with the high standards of excellence our clients expect from us.

CORE DUTIES:

In this role, you’ll be responsible for:

  • Project Management: Overseeing and often juggling multiple clients through various "life cycle stages", from the contracting stage through to retreat execution, and post-program budget reconciliation
  • Accountability for all relevant components of our incentive trips and retreats. Program components include: Budgets, Accommodation, Flights, Local Transportation, Food & Bev, Meetings, Events, Team-building, and Excursions
  • Planning and management of project timelines and related deliverables to ensure planning process runs smoothly and on schedule
  • Delegation of all program related tasks through our internal project management tool to Trip Planning team; oversight for ensuring the project is on track and executed on schedule
  • Creation and daily upkeep of detailed program budgets ensuring they are up to date at all times and cover all project related expenses
  • Tracking of Accounts Payable to outside suppliers / vendors; Accounts Receivable from client payment schedule
  • Ensuring 100% accuracy in the delivery of all processes internally and with suppliers to ensure flawless execution for the client
  • Responsible for accuracy of program documents - Airport schedules, rooming lists, emergency contact lists, dietary restrictions etc.
  • On-Site Execution: Traveling and managing Moniker's team as "Program Lead", managing logistics and roles of the onsite team during retreats
  • Main point of contact with Clients/Accounts; communication and correspondence on a weekly/daily basis as needs dictate
  • Supplier Relations: Overseeing the high-level relationships with key suppliers and stakeholders involved in program execution (transportation, entertainment, hotel staff, etc
  • Industry Relations: Participation in site inspections and site visits

THE IDEAL CANDIDATE

  • Has 4+ years of project management experience overseeing a team in a remote office environment - and is great at managing multiple accounts and keeping on top of deadlines and tasks
  • Has strong verbal and written communication skills - can clearly explain each person's tasks, responsibilities, expectations and feedback
  • Comfortable managing a team, holding team meetings, tracking OKR’s and providing regular feedback
  • Possesses leadership qualities to motivate and enable your team's success and inspire a shared vision for the trip
  • Works well with complex logistics and is excited by the challenge of planning and operating excellent programs for our clients
  • Wants to work in a small-business environment, learn along the way, and grow with the job, even if it means a little less structure or formalized training and processes compared to a typical ‘corporate’ cubicle job
  • A self-starter that is highly organized and manages their time well with the ability to meet deadlines and manage expectations
  • Is well travelled and brings knowledge and insight from destinations around the globe
You’ll be great in this role if:

  • You’ve got experience working in a fast-growing agency. You’re a high-performing Events or Travel Operations Manager with 5+ years of experience in a high-growth environment. You’ve been at a start-up or fast-moving company and thrive in an environment where you are given some structure to your role, with leeway to introduce initiatives of your own.
  • You have superior attention to detail. You pride yourself on thoroughness and accuracy and consider yourself an Excel Ninja. You are a stickler for detail, formula wizard and have high standards, especially when it comes to keeping track of important dates and deadlines, and managing oodles of data across multiple spreadsheets.
  • You’re an amazing teammate. You’re the first to put up your hand to support your colleagues when they are overwhelmed, and you’re willing to drop what you’re doing to help out when needed. You strive to build genuine relationships built on camaraderie and mutual trust throughout the company, and love being the “go-to” person in your organization.
  • You’re driven and proactive. You have a solid work ethic and approach each situation with energy and enthusiasm, even when the task at hand isn’t the most glamorous. You approach every challenge, committed and determined to achieve or exceed expectations and act with a sense of urgency.
  • You’re great at multi-tasking: You excel at juggling multiple projects simultaneously, maintaining high standards across all tasks while effectively prioritizing and managing time.
  • You’re creative and resourceful. When you don’t know how to do something, you figure it out—whether it’s learning a new platform, finding new vendors, or building a new process from scratch.

This role won’t be a good fit if:

  • You aren’t a “people person” who thrives on the energy of being a hub within a team
  • You aren’t extremely detail-oriented and love working with checklists and ticking off tasks every day
  • You are put off by a daily routine that changes up often - where most days and weeks don’t usually look the same
  • You don’t love and excel at working remotely, autonomously, without a lot of supervision on how you manage your day
  • You aren’t ridiculously organized and efficient
  • You don’t like having multiple projects on the go
  • You struggle to prioritize tasks effectively or have a tendency to procrastinate
  • You get easily frustrated and overwhelmed when confronted with multiple tasks

TRAVEL

As such, the expectations are you should be prepared to be away from home and able to travel for 5-6 programs per year, at 4-5 nights on average per program.
